Grosbeak Safaris Terms and Conditions
These terms and conditions (“Agreement”) govern the services provided by [Your Travel Agency Name] (“we”, “us”, or “our”) and outline the terms of use for our safari booking services. By booking a safari, tour, or other travel services with us, you (“the client”, “you”, or “your”) agree to comply with and be bound by the following terms and conditions.
1. **Booking and Reservation**
– **Booking Process**: To book a safari or tour, you must complete the reservation form on our website or through our customer service team. A booking is considered confirmed only once we have received your payment or deposit and issued a confirmation email or booking voucher.
– **Deposit**: A non-refundable deposit may be required to confirm your booking. The deposit amount will be specified in your quote or booking details.
– **Full Payment**: Full payment for your safari or tour must be received at least 45 days prior to your departure date. If full payment is not received by the due date, we reserve the right to cancel the booking and apply cancellation charges as detailed below.
2. **Pricing**
– **Pricing Information**: All prices quoted are in United States Dollars (USD or US$), are subject to change based on availability and exchange rates, and may include taxes, fees, and other charges. Prices are valid at the time of booking but may change due to unforeseen circumstances such as changes in government taxes, transportation costs, or other factors.
– **Additional Costs**: The cost of your safari may not include optional activities, personal expenses (e.g., meals, tips, souvenirs), visas, travel insurance, or flights unless otherwise specified in the package details.
3. **Changes and Cancellations**
– **Changes to Your Booking**: If you wish to make changes to your booking, please contact us as soon as possible. We will do our best to accommodate changes; however, some changes may be subject to availability and additional charges. Accommodation cancellation policies are dictated by the cancellation policy of the lodges and can be provided upon request for each booking
– **Cancellation by You**: If you cancel your booking, the following cancellation fees apply:
. We will always do our best to negotiate fees for our guests. This is a general guideline:
(i) After booking confirmation – 30% cancellation charge
(ii) 45 days or less prior to travel – 100% cancellation charge (no refund)
– **Cancellation by Us**: We reserve the right to cancel a safari or tour due to reasons beyond our control, including but not limited to safety concerns, natural disasters, or government restrictions. In such cases, you will be offered a full refund or an alternative tour.
4. **Travel Insurance**
We strongly recommend that all guests purchase comprehensive travel insurance to cover against unexpected events, such as trip cancellation, medical emergencies, loss of baggage, or personal injury. We are not responsible for any injuries, losses, or expenses incurred during the safari or tour.
5. **Health and Fitness**
– **Fitness Requirements**: You should be in good health and physical condition to undertake the activities involved in the safari or tour. Some tours may require a reasonable level of fitness. If you have any pre-existing medical conditions or concerns, you must inform us at the time of booking.
– **Vaccinations**: It is your responsibility to ensure that you meet all health and vaccination requirements for travel to the destination(s). You may be asked to provide proof of vaccinations for certain regions.
6. **Travel Documents**
– **Passports and Visas**: You are responsible for ensuring that you have a valid passport and any necessary visas, permits, or other documents required for travel. We recommend checking the specific entry requirements for your destination before travel. Generally a passport must be valid for at least 6 months at the time of finishing your trip after confirming an itinerary.
– **Documents for Travel**: You will be provided with an itinerary and booking voucher which you must bring with you when traveling.
7. **Liability and Responsibility**
– **Our Liability**: We will make every reasonable effort to ensure that your safari or tour operates smoothly. However, we are not responsible for any loss, injury, or damages that occur during the trip, whether caused by accidents, acts of God, delays, or third-party service providers (e.g., airlines, accommodation providers).
– **Your Responsibility**: You are responsible for adhering to the laws and customs of the countries you visit and for respecting the safety regulations and advice provided by tour guides, local authorities, and other staff.
8. **Travel Delays and Itinerary Changes**
While we make every effort to ensure the smooth operation of your safari, itineraries may need to be adjusted due to factors outside our control, such as weather conditions, transport delays, or other unforeseen circumstances. We will inform you of any significant changes to your itinerary as soon as possible.
9. **Force Majeure**
We will not be liable for any failure or delay in the performance of our obligations due to events beyond our reasonable control, including but not limited to strikes, wars, natural disasters, pandemics, or government restrictions.
10. **Photographs and Media**
By participating in the safari or tour, you consent to photographs, video, and other media being taken of you during the trip, which may be used for marketing and promotional purposes. If you do not wish to be photographed, please notify us in advance.
11. **Governing Law and Dispute Resolution**
This Agreement shall be governed by and construed in accordance with the laws of Zimbabwe. Any disputes arising out of or relating to this Agreement shall be resolved through mediation or, if necessary, through the courts of Zimbabwe.
12. **Privacy and Data Protection**
We respect your privacy and are committed to protecting your personal information. Please refer to our Privacy Policy for details on how we collect, use, and protect your data.
13. **Acceptance of Terms**
By booking a safari or tour with us, you acknowledge that you have read, understood, and agreed to these Terms and Conditions.
